Exhibitors' Schedule

Tursday October 19th 2023

Set up : Between 8:30 am and 10am*

Fair job : 10 am to 5 pm **

Dismantling : Between 5 pm and 8 pm

 

*If exhibitors arrive after 10 am for the set up, the access to the fair can be denied.

**Exhibitors arriving at the fair after the event’s public opening hours will see late arrival fees apply, reaching two hundred 200 dollars per hour

Loading dock

The loading dock for deliveries is at the front of the building, on the far right of the main entrance. You can access directly from the parking lot. 

Deliveries are permitted only on October 18th between 8am to 4pm. 

 

Survey

We invite you to participate in the improvement of the National Career Event.

A short survey will be given at the end of the event to collect your impressions and comments.

Delivery of your equipment

Limited number of trolleys. Delivery available Wednesday, October 18th without storage fees, between 8:00 a.m. and 5:00 p.m., but no booth set-up before October 19th. Multi-day storage service offered by GES Canada.

Important !

Do not forget to identify your boxes ( name of the fair, booth number and your company name). For any material from outside of Canada, please contact our customs broker Diane Labbé of Consult

Arrival and Set Up Thursday October 19th

Your mission

You are responsible for assembling your own booth

Pick up your badge at the National Career Event desk, located at the entrance of the fair. Any material over than 10 ft high must be approved prior to the event by the National Career Event.

Plan time before the opening of the doors of the fair to complete the set up of your booth.

Assembly of structures by our decorator GES Canada.

Empty boxes
  • Identify them!  The unidentified boxes are automatically recycled !
  • Place them behind your booth or under your table
Need extra services?
  • Our set designer supplier, GES, can provide you with some storage and handling services,
    and extra furniture.

Dismantling

  • The room must be vacated by 9pm, on October 19th 2023.
  • You are responsible for the removal of your equipment. GES Canada, our designer, will dismantle the carpets and structures.
  • Your empty boxes will be returned to your booth at the end of the fair. Trolleys will be able to help you dismantling.
  • Any exhibitor who does not leave the premises on the given time prescribed is liable to a penalty
  • Out of respect for visitors and other exhibitors, please wait until 5pm before starting your disassembly.

Need a break ? A space for exhibitors will be open all day long for coffee/tea or fresh water breaks..

Lunch

A lunch box is offered to your representatives on site from noon to 2pm. 

 

    Attention ! Your bundle includes 2 lunch boxes. Please let us know in advance if you need additional vouchers. 

Your package

For all exhibitors
  • Kiosk 10 x 10
  • Furniture chosen at the time of your registration : counter + 2 stools or table + 2 chairs
  • No change of furniture (replace table by counter or vice versa) will be allowed on site.
  • Wastepaper basket and curtains
  • Poster with logo
  • Access to the exhibitor area (water, coffee, tea)
  • Wifi
  • 2 lunch vouchers
  • Logo, description and positions offered in the official program, distributed in 800 color copies, if received 25 days before the event.
  • Complete description and positions offered in the exhibitor directory on the ecarrieres.com website (upon registration)

IDENTIFY YOUR COMPANY’S NEEDS

The more you know the job openings or general labor needs of your company, the more you will know if the person you are talking to has an interesting profile = Time saving / less of unnecessary discussions

ATTRACT CANDIDATES TO YOU!

Inform candidates of your presence through your website, your e-mail signatures, an e-mail to your database … Make appointments on site if you have applications in progress!
Preview a Twitter hashtag for the day of the event and announce your attendance the week before.

VALORIZE YOUR EMPLOYER BRAND IMAGE

Establish a plan of action for your day to set up the booth and make shine your brand image. To avoid: Text too small and / or too abundant – Do not use the right words – Too many images – Images of bad qualities – Damaged posters

BRING THE NECESSARY MATERIAL

Do not forget to bring the necessary material to set-up your booth (Business cards, company presentation documents, job descriptions, employment forms … Pens, broaches, notebook, scissors, adhesive tapes, Usb key, computer, sockets …)

CREATE A WELCOMING SPACE

Do not neglect any time of the day!
Smile! Be proactive, concrete, clear and patient! To avoid: The obstacles between you and the visitors (table or counter), personal phone conversations in the booth, read or eat in front of visitors

BE EFFECTIVE IN YOUR SELECTION

Learn to be concise and prepare your questions in order to quickly target the candidate’s profile in front of you. Quickly study his approach (gesture, gait, stress level, handshake) and his speech (good morning, his presentation, his way of showing interest …).

SET UP A RATING SYSTEM

Provide a common annotation system for all team members to quickly sort the resumes after the event. Example: A letter code and number system will allow you to identify the position corresponding to the profile and an evaluation of your first interview with the candidate (Position A – Evaluation 2 = A2).

Others instructions

  1. Neither the client nor their guests will be allowed to bring food or drinks of any kind to the Complexe Sportif CN without the express written permission of one of its representatives
  2. Do not distribute promotional items, samples, souvenirs or conduct surveys / questionnaires / solicitation in the fair aisles in order not to obstruct the passage. Please do so only at your booth.
  3. Please let us know of any initiatives you may have regarding the attraction of visitors, in order to avoid inconvenience during the fair.
  4. Watch out for theft! Avoid leaving your personal belongings visible (phone, wallet, tablet)
